We may collect identity and contact details; employer, role and enquiry information; correspondence; recruitment information including employment history, eligibility and CVs; practicum registration details; communication preferences; and limited technical, device, security and cookie information.
03How we collect information
Information is collected directly through contact, careers and practicum forms, email and other correspondence; automatically through essential website technologies; from recruitment platforms or referees where appropriate; and from public professional sources where lawful and relevant.
04How we use information
We use information to answer enquiries, assess and deliver services, administer recruitment, operate educational practicum programmes, maintain records, secure and improve our website, manage relationships, meet legal obligations and send marketing only where permitted. We do not sell personal information.
05Lawful bases
Depending on the purpose, we rely on consent, steps requested before entering a contract, performance of a contract, compliance with legal obligations, or our legitimate interests in operating, protecting and developing our business. Where consent applies, it may be withdrawn at any time without affecting earlier processing.
06Forms and communications
Contact enquiries are used to respond and manage potential business relationships. Career applications are used only for recruitment and related record-keeping. Practicum registrations are used to administer the selected educational programme. Required privacy notices and choices are presented at the point of submission.
07Marketing
If newsletters or marketing communications are introduced, we will provide a clear choice and an unsubscribe route. We will not treat a service enquiry, job application or practicum registration as blanket permission for unrelated marketing.
08Cookies and analytics

09Sharing and processors
We may share information with vetted providers supporting website hosting, form and email delivery, secure storage, recruitment, professional advice and business operations; with authorities where legally required; or during a legitimate corporate transaction. Providers must act only on documented instructions and protect the information.
010International transfers
Where information is processed outside the UK, we use an applicable UK adequacy regulation, the UK International Data Transfer Agreement or Addendum, or another lawful safeguard, together with appropriate risk assessment and security measures.
011Retention
Enquiries are normally retained for up to 24 months after the last meaningful contact; unsuccessful recruitment records for up to 6 months unless a longer talent-pool period is separately agreed; and contractual, financial or programme administration records for the period required by law, commonly up to 6 years. We delete or anonymise information sooner where it is no longer needed.
012Security
We apply proportionate technical and organisational controls including access limitation, secure service providers, patching, backups, monitoring and incident procedures. No internet service is completely risk-free, but we continually review controls against the nature of the information and threat.
013Your rights
Subject to UK data protection law, you may request access, rectification, erasure, restriction or portability; object to processing; and withdraw consent. You may complain to the Information Commissioner’s Office at ico.org.uk. We may verify identity and explain if a legal exemption applies.
014Children, changes and contact
Our website and services are not directed to children under 16 and we do not knowingly collect their information through this site. We may update this policy and will publish material changes here. Send privacy requests to contact@gradenceglobal.com. Effective: 3 August 2026.
